Configure settings and mailboxes in Access Care Connect

Steps to configure mailboxes, email processing, and branch-level settings in Access Care Connect.

Settings in Access Care Connect include mailbox configuration, rule justifications, response templates, and user management. Branch Managers can configure settings independently for their team.

📌 Note: The AI Triage Engine, which covers Branch Mapping, Area Mapping, Availability Configuration, and Automation Rules, is a separate section of the application and is not found within Settings.


Configure mailboxes

Access Care Connect currently supports Microsoft Exchange mailboxes only. To configure a mailbox:

  1. Go to Settings.

  2. Click Add Mailbox and enter your Microsoft Exchange email address.

  3. Link the mailbox to a branch via Branch Mapping in the AI Triage Engine.

Rules for mailbox configuration:

  • A branch can have multiple mailboxes configured.

  • Each email address can only be linked to one branch. You can't have the same address mapped to multiple branches.


How email processing works

Incoming emails automatically appear in the Access Care Connect inbox. The AI processes each email, extracts referral data, and creates linked referral records without any manual intervention required.

If the AI cannot process an email, it is flagged with a Can't be Processed or Un-processable status in the inbox.

Some referral emails reference multiple service users. The AI will detect this and create a separate referral record for each service user mentioned in the email.


Reply to referral emails

When a referral is accepted, you can send a manual reply via Access Care Connect. Configurable response templates are available per branch.


Branch-level configuration

The following are configurable at branch level, allowing each Branch Manager to tailor behaviour independently:

  • Automation rules.

  • Availability configuration.

  • Rule justifications.

  • Response templates.
